Monday, April 14, 2025 | Abstract Submissions
Abstract submission deadline for oral submissions. The submission includes abstract, speaker permissions, speaker bio, and headshot.
Tuesday, May 6, 2025 | Hotel Accommodations
Last day to reserve your hotel accommodations at the host hotel at the special group rate. Please note: program registration does not include lodging, so be sure to book your hotel room before the deadline.
Monday, May 12, 2025 | Presentation Slide Deck
Last day to upload your presentation slide deck to the online abstract portal. This includes replacing any previously uploaded PDF versions to be included in the online program as well as the PowerPoint version that will be provided to the on-site audio-visual technician prior to your session.
Thursday, May 15, 2025 | Registration
Last day to register for your badge. All program participants (speakers and panelists) are responsible for registering themselves online. All speakers and panelists will be provided instructions 3-4 weeks prior to registration closing, along with a special code to use when registering online. Registration closes at 5 PM Pacific (PDT).
Important Information for Invited Speakers
Invited speakers are selected and formally invited by the Scientific Organizing Committee of the Program Committee. The Committee meets regularly to determine the meeting's scope, scientific discussion, and the dissemination of information through a variety of speakers from industry, regulatory agencies, and academia. All speakers are required to submit deliverables, complete the speaker authorization questions in the online abstract submission portal, and register for the Symposium. Registration details and/or instructions, deliverable due dates, and a link to the speaker/abstract management portal are included in your invitation letter.
Please proactively begin the legal process required by your organization, if applicable, as soon as possible to avoid delays in your approval and submission of presentation materials.
Submitting your Abstract and Presenter Deliverables
All invited oral presenters are required to submit an abstract and complete all required form fields. Please contact the program manager Kellie Greene Bailey (kgbailey@casss.org) if you need the abstract submission link resent. All required fields of the abstract form must be completed for your submission to be accepted. We strongly encourage including a bio and headshot of the presenting author for inclusion in the online program. Abstract forms must be completed and submitted by April 14, 2025.
If you are participating as a panel member or session chair, please submit your bio and headshot as an abstract submission with the following fields completed:
- Authors and affiliations (include your name, affiliation, bio, and headshot here)
- Submission Type = Panelist
- Session Topic = Your assigned session name
- Electronic Signature
All other fields can be left blank. Your submission will show as incomplete, but your information will be captured.
Editing a submission
If you need to make edits to your submission or add your final PowerPoint and/or PDF file of your slides, go to www.oxfordabstracts.com. If you are not auto-directed to your account page, click the “Your Account” link in the upper right corner. Once on your page, locate your submission and click “Edit”. This will take you to your submission where you can make edits and upload files. Be sure to click the blue “Submit” button at the bottom of the page for your changes to save.
Upload Presentation Files
To upload your final presentation as a PowerPoint and/or PDF file, follow the instructions above to access your submission. Scroll to the bottom of the submission under the “Presentation Slides – PowerPoint" section. Upload a .ppt or .pptx file for your use in your live presentation. Under the “Presentation Slides – PDF" section, upload a PDF file of your final slides to share your presentation with attendees and beyond the live event.
NOTE: Only upload a PDF version if you are granting CASSS permission to share. The PDF will be public to viewers once uploaded.
Replace or Remove Previously Uploaded Presentation Files
To replace a previously uploaded PowerPoint or PDF file, access your submission by following the instructions noted above under “Editing a Submission”.
- Scroll down to the "Presentation Slides - PowerPoint" and/or "Presentation Slides - PDF" section.
- Click the “Replace File” button for the file you want to replace and select a new file to add.
- To remove a file, simply click the “Remove” button.
- Be sure to click the blue “Submit” button at the bottom of the page for your changes to save.
Oral Presentation Format
For oral presenters, the chairs of your session will confirm the allotted length of time for your talk as well as the order you will speak in.
All presentations should be saved as a PowerPoint file (.ppt, .pptx) in widescreen or 16:9 dimension. If your PowerPoint application defaults to 4:3 dimension, you can modify this by clicking “Design” from the top menu bar, select “Slide Size” from the Customizations section, and select “Widescreen 16:9”.
Presentations that grant permission to be shared should also be saved as a PDF and both files uploaded to the online abstract portal by the May 12, 2025 deadline. Slides submitted after this deadline are not guaranteed to be included in the final program. If you make updates to your slides after May 12, 2025, please be prepared to bring your updated file on a USB and coordinate with the audio-visual technician to load your presentation on the computer at the podium prior to your session. Speakers not allowed to use USB drives should bring their laptop and the appropriate cords to connect at the podium.
When giving your presentation, we ask that you consider optimizing your slides for all attendees by incorporating the following elements:
- Avoid using small print on presentations that can’t be seen from a distance. Use a minimal slide typeface of 24 point / legible fonts (no cursive or block letters).
- Avoid using more than 3 colors and types of fonts. White or yellow lettering on a blue background is attractive and easy to read. Avoid red and green text. Be considerate of those that are color blind.
- Avoid using more than 3 styles of slide transitions or animations.
- Activate captions on any video used in the presentation.
- Verbally describe visual materials (e.g., slides, charts, etc.).

Hotel Accommodations
A room block is reserved for attendees at the special group rate of $229 USD for a single or double room (plus 15% occupancy tax). The deadline to reserve your accommodations is May 6, 2025.
NOTE: By staying at the host hotel, you help CASSS meet its contractual obligations and keep future registration fees reasonable. Please take this into consideration when making your accommodation decisions.
